This Privacy Policy explains how Alleavia (“we”, “us”, “our”) collects, uses, and protects your personal information when you visit alleavia.com or use our services. We are a small family-run pet supplies and pet-tools site based in Kilkenny, Ireland.

For data protection purposes we are the data controller for the personal information we collect about you. We act under Irish law and the EU General Data Protection Regulation (GDPR).

2. What we collect and why

2.1 When you browse the site

We collect technical data automatically: IP address (for security and rate-limiting), browser type, device type, pages viewed, and referring URL. This is processed under our legitimate interest in keeping the site secure and understanding what content helps visitors.

2.2 When you create an account or place an order

We collect the information you give us: name, email address, billing and shipping address, phone number, and order history. This is necessary to fulfil your order and operate your account (legal basis: contract).

2.3 When you save a Pet Profile

If you save a pet to your account (“My Pets”), we store the details you enter โ€” name, species, breed, date of birth, weight, allergies, current medications, vet contact, microchip number and emergency contact. This data is stored on our server and only visible to you when logged in.

If you opt to make a pet’s emergency profile public (for QR-tag use), the information you have entered becomes accessible to anyone who knows the unguessable token URL (/p/<token>/). Public profiles are noindexed (excluded from search engines). We never expose your full name, account email or address on the public profile โ€” only the contact phone numbers and notes you specifically enter for emergency use. You can revoke the public link at any time, which immediately invalidates the previous QR.

2.4 When you use our AI tools (Allie chat, Vet Visit Prep, Symptom Checker, etc.)

The text and any photos you submit to our AI tools are sent to a third-party large-language-model provider (currently Moonshot AI, China) to generate a response. We do not store your AI inputs or outputs on our server beyond what is needed to display the response back to you (and, for logged-in chat, your local conversation history). We rate-limit AI calls to prevent abuse.

International transfer: Moonshot processes your input on servers located in China, which is outside the EEA. We rely on your explicit action of submitting the AI form as your consent for this transfer. If you are not comfortable with this, please do not use the AI features โ€” the rest of the site (calculators, breed guides, shop) works without them.

2.5 When you subscribe to recall alerts

If you sign up for the Pet Food Recall Watcher we store your email address, the brands you want to watch, and a random unsubscribe token. We use this data only to send you recall alerts when one of your watched brands appears in an FSAI / FSA / EU RASFF notice. We never sell, share, or use this email for marketing.

2.6 When you contact us

If you fill in the contact form or email us, we receive your name, email and message. We use this only to respond to your enquiry. Messages are kept for 24 months for service-history purposes, then deleted.

2.7 When you become a Pet Pro member

Pet Pro is a paid subscription processed by Stripe. We receive your subscription status and billing email from Stripe; we never see or store your card details. Stripe is the data controller for payment data โ€” see stripe.com/ie/privacy.

3. Cookies and similar technologies

We use cookies in four categories. The first time you visit the site you are shown a banner letting you accept all, reject non-essential, or pick which categories to allow.

  • Necessary โ€” cart contents, login session, security tokens. Always on; the site cannot function without them.
  • Functional โ€” Allie chat history, your saved-pet selection on calculator pages, calculator preferences. Improves your experience.
  • Analytics โ€” anonymised usage statistics (currently not active; will use a privacy-friendly provider when added). Off by default.
  • Marketing โ€” third-party advertising (Google AdSense). Off by default. Only loads if you specifically grant marketing consent.

4. Who we share data with

We share personal data only with the service providers needed to run the site, and only the minimum needed for them to do their job:

  • Hostinger (Lithuania / EU) โ€” site hosting and database storage.
  • Stripe (Ireland / US) โ€” payment processing for Pet Pro subscriptions and any future paid services.
  • Moonshot AI (China) โ€” large-language-model processing for Allie chat and AI calculators (only when you submit input to those tools).
  • Google AdSense (Ireland / US) โ€” advertising on free pages, ONLY if you grant marketing consent. AdSense uses cookies to personalise ads.
  • SMTP / email provider โ€” for transactional emails (order receipts, recall alerts, contact-form replies, vaccine reminders).
  • Affiliate networks (Awin, Amazon Associates etc.) โ€” only if you click an affiliate link, in which case the network sees the referral and your interaction with their site.

We do not sell your personal data to anyone. Ever.

5. How long we keep data

  • Account + order data: kept while your account is active, plus 6 years after the last order to comply with Irish tax record-keeping rules.
  • Pet profiles: kept while your account is active. Deleted when you delete the pet, or when you delete your account.
  • Recall subscriptions: kept until you unsubscribe (one-click unsubscribe link in every email).
  • AI inputs / outputs: not retained on our server. Allie chat history is stored locally in your browser; logged-in chat history is kept on our server while your account exists.
  • Contact form messages: 24 months, then deleted.
  • Server logs (IP, request URLs): 30 days for security purposes.

6. Your rights under GDPR

You have the right to:

  • Access the personal data we hold about you (Article 15).
  • Correct inaccurate data (Article 16).
  • Erase your data, where there is no overriding legal reason for us to keep it (Article 17).
  • Restrict processing in certain circumstances (Article 18).
  • Receive a portable copy of data you provided to us (Article 20).
  • Object to processing based on legitimate interests (Article 21).
  • Withdraw consent at any time, where processing is based on consent.

You also have the right to lodge a complaint with the Irish Data Protection Commission: dataprotection.ie.

7. Data security

We protect your data with HTTPS site-wide, server-side firewalls, regular software updates, hashed passwords, and short-lived random tokens for sensitive features (e.g. public pet profiles, recall unsubscribe). Payment card data is handled directly by Stripe โ€” we never see or store card numbers.

If a data breach affects your personal information, we will notify you and the Data Protection Commission within 72 hours where required by law.

8. Children

Our services are intended for adults (16+). We do not knowingly collect personal data from children. If you believe a child has given us personal data, please email us and we will delete it promptly.

9. International transfers

Most of our data stays in the EU (Ireland / Lithuania). The exceptions are:

  • Stripe: dual-region (Ireland for European customers; US for cross-border processing). Stripe operates under the EUโ€“US Data Privacy Framework.
  • Moonshot AI: servers in China. Used only when you submit input to an AI tool. Your input leaves the EU.
  • Google AdSense: global infrastructure. Loaded only with your marketing consent.

10. Changes to this policy

We may update this policy as our services evolve. The “Last updated” date at the top reflects the latest revision. Material changes will be flagged via a banner on the homepage and (for account holders) a notice on your account dashboard.
